The Attendance Chart module makes it possible to review students’ attendance records. Parents and students can set a date range for which to view attendance. In addition to reviewing students’ attendance data, parents/students can also export, print, and filter listed data.
1. Option 1: As a student, in the menu, click Attendance.
1. Option 2: As a parent, click the down arrow next to the applicable student, then click Attendance.
2. Select a Report Timeframe to determine the attendance that's reflected in the report, such as School Year, Quarter 1, Last 90 Days, etc.
a. Select Custom to enter a custom timeframe.
3. Once a time frame has been set and a period selected (or daily), click Go.
From this screen, you can review the Attendance Summary Cards, which provide a snapshot of the selected student's attendance activity for the selected date range. The cards display totals for Absences, Tardies, Unexcused Absences, Days Present, Late Check-Ins, and Early Releases, along with additional metrics such as weekly, monthly, and quarter-to-date totals. Depending on the attendance type and district configuration, the cards may also display attendance percentages, period counts, or minute totals.
4. Click an Attendance Summary Card to open a detailed modal displaying the underlying attendance records for that category. Depending on the selected card, the modal may include additional summary information, such as attendance code totals, along with detailed records for the selected date range.
a. Clicking ABSENCES to view a summary of absence information for the selected date range, including the total number of days absent, periods absent (or minutes absent, depending on district configuration), attendance percentages, and a legend showing each attendance code with its corresponding count. You can also review detailed absence records, including the date, section, attendance code, attendance title, and other related information. Click Close to close the pop-up window.
5. Click Hide to hide the Attendance Summary Cards.
a. Click Show to redisplay the Attendance Summary Cards.
6. While reviewing the Attendance chart, you have the option to click Summary in order to navigate to Absence Summary. You also have the option to view the Attendance Calendar by clicking Calendar.
7. Click the student name to view Student Info.
The Attendance chart displays the Course name, the number of Absences per period/course, Attn Periods (number of attended periods), Sched Periods (the number of scheduled periods), Daily Att % (daily attendance percentage), and the attendance code per day as listed. Note: If enrolled at a post secondary school, you will see Attn Hrs (number of attended hours), Sched Hrs (the number of scheduled hours), and Hourly Att % (hourly attendance percentage).
Notice the totals listed at the bottom of each column. The Total Present and Total Absent numbers are listed along with a total percentage.
8. Review the attendance codes for each day. Hover over each attendance code for more information.
1. Click the arrow to open the applicable student's screens, then click Attendance.
2. Click Submit New Absence Request.
The pop-up window displays the student's number of Total Year Excused Absences, Total Year Unexcused Absences, and Total Year Absences.
3. Select the Reason for your student's absence.
4. Select the Start Date and End Date for your student's absence to indicate the requested date or date range. You can select dates in the past or in the future, as needed.
If you try to submit an absence request for a date a student was already marked as present, you will receive an alert and be prompted to submit a request for a late arrival or early dismissal instead.
5. Select the Absence Type to indicate the type of request.
Select Full Day Absence if the student will be absent for the entire school day.
Select Arrive Late and enter the students arrival time if the student will be arriving after the start of the school day.
Select Leave Early and enter the time the student will leave school if the student will be dismissed before the end of the school day.
Times must be entered in the format 00:00 AM/PM, such as 08:30 AM or 02:15 PM.
6. Drag and drop your file into the No Files section to attach documentation. You can also click Scan to scan a document, click Upload to browse and select a file from your computer, or click Take Photo to capture an image using your webcam. Uploading documentation may be required depending on the selected reason and district setup.
Once uploaded, you can click the Download icon to download the document to your computer or click the Delete icon to remove the file.
7. Click Click to Sign to electronically sign the absence request. Note: This option only displays if a signature is required for the selected Reason.
a. In the editor, use your mouse to sign your name. Then, click Sign.
Click Cancel to close the window without saving your signature.
Click Clear to clear any markups added and start over.
8. Enter any Comments in the text box.
9. Select the Pickup Contact from the pull-down to specify who is picking up the student from school. Note: This option only displays if the student is leaving early.
10. Drag and drop the Contact ID Photo file into the No Files section to attach the photo. You can also click Scan to scan a photo, click Upload to browse and select a file from your computer, or click Take Photo to capture an image using your webcam. Note: This option only displays if the student is leaving early.
Once uploaded, you can click the Download icon to download the photo to your computer or click the Delete icon to remove the photo.
11. Click Submit Request.
You will be redirected to the Submit New Absence Request screen once your request is submitted.
1. Click the arrow to open the applicable student's screens, then click Attendance.
2. Click Absence Request History.
This navigates to the Submit New Absence Request screen where you can review all your submitted requests, as well as submit new requests.
Previously submitted absence requests display at the bottom of the screen.
